POSITION SUMMARY
Reporting directly to the Owner and working closely with leadership, the Accounting and Finance Coordinator will manage daily accounting functions and payroll while coordinating closely with the company’s CPA firm and key internal stakeholders. POSITION SUMMARY
Reporting directly to the Owner and working closely with leadership, the Accounting and Finance Coordinator will manage daily accounting functions and payroll while coordinating closely with the company’s CPA firm and key internal stakeholders. This is a full-time, on-site, high-trust position that includes:
- Accounts payable and accounts receivable oversight
- Payroll processing
- Cash handling and signing authority
- Financial organization and recordkeeping
- Weekly coordination with ownership and operations
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Enter invoices and maintain a highly organized filing system
- Issue checks to vendors, contractors, and other payees
- Manage accounts payable and accounts receivable
- Process payroll accurately and on schedule
- Prepare and complete weekly bank deposits
- Handle cash and uphold strong internal financial controls
- Maintain organized and easily retrievable financial documentation
- Coordinate with the company’s CPA firm
- Ensure accurate data entry into QuickBooks and related systems
- Assist with reconciliations as needed
- Attend weekly team meetings
- Coordinate with the Operations Manager regarding checks for live entertainment and operational needs
- Meet weekly with the Owner to review financial performance, reconciliations, and overall account status
- Maintain strict confidentiality of financial and payroll information
- Perform other related duties as assigned
- This position does not supervise employees
- Plays a key role in maintaining financial accountability across the organization
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred
- Minimum of 3 years in bookkeeping, accounting support, or payroll functions
- Strong working knowledge of QuickBooks
- Proficiency in Microsoft Excel
- Demonstrated ability to manage payroll, accounts payable and accounts receivable
- Prior collaboration with a CPA firm or external accounting partner preferred
- High level of integrity with comfort handling cash and signing authority
- Exceptional organizational skills and attention to detail
- Ability to work independently and manage competing priorities
- Strong written and verbal communication skills
- Reliable with consistent and predictable attendance
- On-site role; remote work not available
- Full-time, 40 hours per week
- Monday through Friday; No weekends required
